Overview:
Our client is a global industry leader seeking a proactive and highly organized Office Manager to oversee their corporate headquarters in Vancouver. This vital role ensures the seamless operation of the head office by integrating facilities management, business services, and internal culture initiatives. You will act as a key collaborator across departments, supporting everything from high-level executive needs to large-scale employee engagement events. This is a full-time, onsite position designed for a workplace excellence professional who thrives in a fast-paced, "one-team" environment.


What you will be doing:

  • Facilities & Space Management: Direct daily office operations, including space planning, office moves, and the maintenance of all furniture, fixtures, and equipment.

  • Vendor & Procurement Leadership: Manage relationships with external service providers and building management, overseeing the procurement of office assets while maintaining budget efficiency.

  • Safety & Compliance: Serve as the primary contact for office-related emergency protocols and lead health and safety initiatives to ensure a secure work environment.

  • Corporate Travel Program: Oversee the regional corporate travel program, including negotiating contracts with hotel partners and ensuring alignment with company travel policies.

  • IT Partnership: Act as a functional "superuser" to support the IT department with technology rollouts, system troubleshooting, and change management adoption.

  • Committee & Event Support: Provide administrative guidance to various site management teams and committees, coordinating logistics for global meetings, customer visits, and charity initiatives.

  • Operational Administration: Manage the front office/reception functions, facilitate new employee orientations, and oversee the processing of invoices and expense reports.

  • Culture & Engagement: Support the executive administration team with team-building activities and foster an inclusive workplace through well-coordinated office-wide events.


What you must have:

  • Experience: Extensive background in office or facilities management, preferably within a corporate head office or professional services setting.

  • Project Management: Proven ability to manage vendors, multiple stakeholders, and complex projects with high attention to detail.

  • Technical Proficiency: Advanced skills in Microsoft Office Suite and a high level of comfort adopting and troubleshooting new office technologies.

  • Communication: Exceptional interpersonal abilities with a service-oriented approach to supporting both internal teams and external partners.

  • Specialized Knowledge: Prior experience managing corporate travel programs, vendor contracts, or large-scale event planning.

  • Flexibility: A proactive mindset with the ability to work independently and adapt to changing priorities, including occasional support for after-hours events.

  • Collaboration: A demonstrated "one-team" spirit, grounded in professional integrity and a commitment to workplace excellence.


Salary/Rate Range: $80,000 - $90,000
