Medical Program Administrative Assistant (MPAA)
Schedule: Monday-Friday, 8:00 AM-4:30 PM
Position Overview
We are seeking a highly organized and detail-oriented Medical Program Administrative Assistant (MPAA) to provide administrative and medical records support in a busy healthcare environment. This position is responsible for managing a high volume of patient and legal medical record requests, maintaining accurate documentation, and providing administrative support to approximately 12 clinicians.
Key Responsibilities

Manage patient and legal requests for medical record reviews and releases, averaging approximately 40-50 requests per month.

Retrieve healthcare records and ensure all requested documentation is complete and accurate.

Review and redact confidential and protected health information as required prior to release.

Coordinate and facilitate medical record reviews and releases in accordance with applicable policies, procedures, and confidentiality requirements.

Scan and upload approximately 400 documents per week into patients' electronic medical charts.

Ensure scanned records are properly indexed, organized, and entered into the appropriate patient chart.

Provide ongoing administrative support to approximately 12 clinicians.

Assist with document management, correspondence, scheduling, and other administrative functions as needed.

Maintain strict confidentiality when handling patient, legal, and healthcare information.

Prioritize multiple requests and deadlines while maintaining accuracy in a high-volume environment.

Perform additional administrative duties as assigned.
Qualifications

Previous administrative experience in a healthcare, medical office, or medical records environment preferred.

Experience handling medical records, release-of-information requests, or healthcare documentation strongly preferred.

Knowledge of HIPAA and patient confidentiality requirements.

Strong attention to detail, particularly when reviewing, redacting, scanning, and filing medical documentation.

Excellent organizational and time-management skills with the ability to manage a high-volume workload.

Strong written and verbal communication skills.

Proficiency with electronic medical records (EMR/EHR), document scanning, and standard office software.

Ability to effectively support multiple clinicians and manage competing priorities.
