Medical Program Administrative Assistant (MPAA)

Schedule: Monday-Friday, 8:00 AM-4:30 PM

Position Overview

We are seeking a highly organized and detail-oriented Medical Program Administrative Assistant (MPAA) to provide administrative and medical records support in a busy healthcare environment. This position is responsible for managing a high volume of patient and legal medical record requests, maintaining accurate documentation, and providing administrative support to approximately 12 clinicians.

Key Responsibilities

  • Manage patient and legal requests for medical record reviews and releases, averaging approximately 40-50 requests per month.

  • Retrieve healthcare records and ensure all requested documentation is complete and accurate.

  • Review and redact confidential and protected health information as required prior to release.

  • Coordinate and facilitate medical record reviews and releases in accordance with applicable policies, procedures, and confidentiality requirements.

  • Scan and upload approximately 400 documents per week into patients' electronic medical charts.

  • Ensure scanned records are properly indexed, organized, and entered into the appropriate patient chart.

  • Provide ongoing administrative support to approximately 12 clinicians.

  • Assist with document management, correspondence, scheduling, and other administrative functions as needed.

  • Maintain strict confidentiality when handling patient, legal, and healthcare information.

  • Prioritize multiple requests and deadlines while maintaining accuracy in a high-volume environment.

  • Perform additional administrative duties as assigned.

Qualifications

  • Previous administrative experience in a healthcare, medical office, or medical records environment preferred.

  • Experience handling medical records, release-of-information requests, or healthcare documentation strongly preferred.

  • Knowledge of HIPAA and patient confidentiality requirements.

  • Strong attention to detail, particularly when reviewing, redacting, scanning, and filing medical documentation.

  • Excellent organizational and time-management skills with the ability to manage a high-volume workload.

  • Strong written and verbal communication skills.

  • Proficiency with electronic medical records (EMR/EHR), document scanning, and standard office software.

  • Ability to effectively support multiple clinicians and manage competing priorities.
