What you will be doing:
Work Orders and Scheduling

Receive, develop and distribute detailed work orders outlining tasks, timelines, and responsibilities.

Create and manage comprehensive project schedules for subcontractors, internal field staff to maximize efficiency and meet project deadlines.

Monitor and adjust schedules as needed to address delays or unforeseen challenges, ensuring alignment with project timelines and goals.

Use project management and scheduling software to plan, track, and adjust work schedules, ensuring accessibility for all team members.
Project Management and Coordination

Oversee minor construction projects from initial estimating through to completion, ensuring adherence to budgetary and time constraints.

Manage the quality of work and budget costs, ensuring projects are completed to company standards and within financial limits.

Conduct regular site visits and inspections to oversee progress and provide support as needed.

Regularly review schedules, budgets, labor, risk, and project plans to ensure projects stay on track.

Coordinate with clients, developers, architects, engineers, and subcontractors to ensure all project requirements are met.
Materials Procurement and Resource Management

Procure and order necessary materials, ensuring timely delivery and quality.

Conduct estimates and material take-offs for accurate project planning.

Work with in-house staff to ensure efficient project planning and appropriate resource allocation.

Communicate resource requirements to managers and ensure effective utilization of resources.
Safety and Compliance

Serve as the liaison between the Field Manager and HSE Manager, ensuring clear communication on health and safety matters.

Collaborate with the HSE Manager to develop and implement health and safety plans, ensuring compliance with OHS legislation and company policies.

Monitor on-site safety conditions, conduct pre-job briefings and risk assessments, and address safety concerns immediately.

Maintain safety records, prepare reports, analyze data for trends, and conduct training sessions to keep team members informed about safety policies and regulations.
Project Coordination and Administration

Assist Field Manager with day-to-day administrative tasks, ensuring smooth project operations.

Maintain comprehensive project documentation, including contracts, schedules, and correspondence.

Prepare and process purchase orders, ensuring accurate and timely procurement of materials and services.

Create, review, and process change orders, monitoring their status and ensuring proper documentation and approval.

Manage the submittal process, preparing and tracking submittal logs, reviewing for accuracy, and coordinating with subcontractors and suppliers.

Prepare and submit RFIs to clarify project details, track their status, and maintain a log of all RFIs and responses.

Gather and submit information for project invoicing, assist in invoice preparation, monitor invoice status, and follow up to ensure timely payments.

Compile and prepare regular project progress and budget reports.

Ensure all project documentation is up-to-date, organized, and accessible, maintaining compliance with company policies and document control policies.
What you must have:

Relevant education in Construction Management, Engineering, Business Administration, or related field preferred.

2+ years of experience in project coordination or a similar progressive role within the construction industry.
Salary/Rate Range: $65,000.00 - $75,000.00
