Overview:

Our client is a high-growth, multi-entity private wealth manager who is seeking a strategic Operations Manager to lead their back office support functions. This person will help to build a new team to support a newly formed division of the company. This is a pivotal leadership role designed for a proactive professional who enjoys building high-performing teams, optimizing complex financial workflows, and driving continuous improvement in a collaborative, fast-paced environment.

 

What you will be doing:

  • Team Leadership: Direct and mentor the operations staff, providing coaching and performance management to ensure a premium experience for both advisors and clients.

  • Workflow Management: Oversee end-to-end administrative cycles including account onboarding, documentation, and maintenance while ensuring strict regulatory compliance.

  • Transaction Oversight: Manage the processing of all financial requests, including deposits, withdrawals, wire transfers, and complex client transactions.

  • Trade & Fiscal Coordination: Approve and coordinate trade executions, foreign exchange activities, corporate actions, and recurring fee files.

  • System Reconciliation: Ensure data integrity through daily and monthly reconciliations across investment platforms, resolving any discrepancies promptly.

  • Data Integrity & Reporting: Maintain oversight of client data (e.g., registered contribution limits) and lead the production of internal operational reports and advisor resources.

  • Year-End Deliverables: Manage critical seasonal cycles, including tax reporting support, fee summaries, and specialized client communications.

  • Process Improvement: Identify and lead initiatives to enhance operational scalability, internal controls, and overall service quality.

  • Cross-Functional Collaboration: Partner with portfolio managers, compliance officers, and estate planning consultants to meet broader business objectives.

What you must have:

  • Experience: Proven track record of leading and developing operations teams within a financial services or private wealth environment.

  • Performance Management: Demonstrated ability to use KPIs and performance metrics to drive accountability and service excellence.

  • Operational Expertise: Deep experience managing complex workflows, system enhancements, and change management initiatives.

  • Technical Skills: Advanced proficiency in Microsoft Office and significant experience with investment operations platforms and ERP-style workflows.

  • Analytical Mindset: Strong problem-solving skills with a "solutions-oriented" approach to identifying and fixing root-cause operational issues.

  • Communication: Exceptional written and verbal skills, with the ability to translate complex operational concepts for senior leadership and advisors.

  • Organizational Skills: Highly organized with the capacity to manage competing priorities and strict deadlines independently.

Salary Range: $90,000 - $115,000
