Medical Program Assistant Associate (MPAA) 

Position Summary

The Medical Program Assistant Associate (MPAA) provides essential administrative and clerical support to the Health Services Unit within a correctional facility. Serving in a role similar to a unit clerk, the MPAA helps ensure efficient daily operations by coordinating patient scheduling, maintaining medical records, supporting healthcare providers, and facilitating communication between internal and external healthcare partners. This position requires exceptional organizational skills, attention to detail, confidentiality, and the ability to work effectively in a secure correctional environment.

Schedule

  • 24 hours per week

  • Tuesday, Thursday, and Friday

  • 7:30 AM – 4:00 PM

Key Responsibilities

  • Coordinate onsite and offsite medical appointments and scheduling for incarcerated patients.

  • Prepare, organize, and pack medical charts for patient transfers, releases, and outside appointments.

  • Obtain provider notes, medical records, diagnostic reports, and other documentation from outside healthcare facilities and providers.

  • Scan, upload, and accurately maintain electronic and paper medical records.

  • Conduct medical record file reviews to ensure documentation is complete, accurate, and compliant with facility policies.

  • Gather and organize legal and court-related medical records as requested.

  • Assist with telemedicine appointments by coordinating logistics, preparing documentation, and remaining present during appointments as required.

  • Maintain confidentiality of protected health information in accordance with applicable laws, regulations, and facility policies.

  • Communicate professionally with healthcare providers, correctional staff, and outside medical offices to coordinate patient care.

  • Perform general clerical and administrative duties, including filing, data entry, answering phones, and managing correspondence.

  • Support the Health Services Unit with additional administrative tasks as assigned.

Qualifications

  • High school diploma or equivalent required.

  • Previous clerical, medical office, healthcare administrative, or unit clerk experience preferred.

  • Experience working with electronic medical records (EMR) systems is preferred.

  • Strong organizational, communication, and multitasking skills.

  • Ability to maintain strict confidentiality and handle sensitive information.
