In this dynamic, key support role, you will work under the supervision of the Adult Day Program Manager to ensure smooth daily center operations, including activity logistics, caregiver scheduling, transportation routing, and electronic recordkeeping. Duties & Responsibilities
Operations & Care Coordination

Center Administration: Provide broad administrative and operational support across daily program activities, meal services, personal care scheduling, intake needs, and patient/staff safety protocols.

Caregiver Team Support: Collaborate with program management to assist in overseeing the caregiver team, including coordinating scheduling and daily workflow support.

Transportation & Scheduling: Coordinate transportation logistics and routing to ensure patients arrive safely and on time for program activities.

Documentation & Data Entry: Maintain accurate electronic records, complete required Electronic Health Record (EHR) data entry, and generate operational reports as requested.

Inclusive Environment: Champion an inclusive, welcoming culture for all patients and community members, demonstrating sensitivity to diversity and intersectionality within the community.

Cross-Functional Partnering: Work collaboratively with management and center staff to enhance program quality, operational efficiency, and overall team success.

Frontline Engagement: Serve as a warm, professional point of contact for patients, families, and visiting partners, assisting with basic translation or interpretation as needed if bilingual.

Compliance & Safety: Maintain a clean, orderly workspace and comply with all administrative, safety, background clearance, and health screening protocols (including TB testing).

Other duties as assigned.
Required Qualifications
Education & Certifications

Education: High School Diploma or GED equivalent.

Age Requirement: Must be at least 18 years of age.

Certifications: Active CPR and First Aid Certifications (required upon hire).

Clearances: Ability to clear a standard background check and obtain required medical clearances (including health screening and TB test).
Experience & Technical Skills

Administrative Background: Minimum of one (1) year of administrative, coordinator, or office support experience.

Computer Proficiency: Skilled in Microsoft Office Suite, electronic scheduling systems, EHR platforms, and standard office technology.

Communication Skills: Excellent verbal and written communication skills with a warm, professional, and patient-centered demeanor.

Adaptability & Organization: Highly organized with exceptional multitasking skills, able to prioritize effectively in a busy environment with frequent interruptions.
Desired Qualifications

Community Specialty: 2 to 4 years of experience working in healthcare, adult day care, or senior care settings, with a preferred focus or demonstrated interest in serving LGBTQ seniors.

Bilingual Ability: Fluency in a second language is a strong plus (capable of providing basic translation for patients and staff).

Work Setting: On-Site Ambulatory/Day Center Environment.

Schedule: Full-time Monday – Friday, 8:30 AM – 5:00 PM (40 hours/week)
