Medical Program Assistant Associate (MPAA) 

Position Summary

We are seeking an organized and detail-oriented Medical Program Assistant Associate (MPAA) to provide critical medical records and administrative support within a busy healthcare environment. This position is responsible for managing a high volume of patient and legal medical record requests, maintaining accurate electronic health records, and providing administrative support to approximately 12 clinicians.

This role requires excellent attention to detail, strong organizational skills, the ability to handle confidential healthcare information appropriately, and the capacity to effectively prioritize a significant volume of time-sensitive requests.

Schedule

  • Hours: 7:45 AM – 4:30 PM

  • Meal Period: 11:45 AM – 12:30 PM (45-minute unpaid meal period)

Key Responsibilities

Medical Records & Legal Requests

  • Manage patient and legal requests for medical record and file reviews.

  • Retrieve and prepare healthcare records for review and release.

  • Review and appropriately redact confidential or protected information as required.

  • Coordinate and facilitate medical record reviews and releases in accordance with applicable policies and procedures.

  • Manage a high-volume workload averaging approximately 40–50 patient and legal record requests per month.

  • Maintain accurate documentation and tracking of requests to ensure timely completion.

Medical Record Scanning & Documentation

  • Scan and upload healthcare documentation into patients' electronic medical charts.

  • Process approximately 400 medical record scans per week.

  • Verify that documents are accurately filed within the appropriate patient record.

  • Maintain organized, complete, and accurate electronic health records.

Clinical & Administrative Support

  • Provide ongoing administrative support to approximately 12 clinicians.

  • Assist clinical staff with medical records, documentation, and other administrative needs.

  • Perform additional clerical and administrative duties necessary to support efficient clinical operations.

  • Prioritize competing responsibilities in a fast-paced, high-volume healthcare setting.

Qualifications

  • Previous administrative experience in a healthcare, medical records, or clinical environment strongly preferred.

  • Experience handling medical records, legal record requests, or release-of-information processes preferred.

  • Strong computer skills and experience working with electronic medical records or similar healthcare systems.

  • Excellent organizational and time-management skills.

  • Strong attention to detail and commitment to accuracy.

  • Ability to manage a significant volume of work while meeting established deadlines.

  • Ability to appropriately handle confidential and protected health information.

  • Strong written and verbal communication skills.

  • Ability to work collaboratively with clinicians and other healthcare professionals.

Position Importance

This position provides essential administrative support that allows clinical staff to remain focused on direct patient care. Due to the significant volume of medical record requests, scanning, and administrative responsibilities associated with this role, dedicated onsite support is necessary to ensure records are processed efficiently and clinicians are able to devote their time and attention to patient care.
