What you will be doing:
System Administration & Configuration
-
Configure and maintain global system settings, preferences, forms, fields, workflows, business rules, asset classifications, and system parameters.

Create and modify reports, dashboards, workflow templates, forms, notifications, and business rules.

Maintain asset hierarchies, categories, classifications, and other system structures.
-
Configure system functionality to support approved Utilities business processes.
-
Maintain system documentation, configuration records, and administrative procedures.
-
Register and maintain new assets in accordance with established asset data standards and governance requirements.
-
Perform bulk data imports, exports, updates, and approved data maintenance activities.
-
Provide first-tier AMS training to Utilities users
User Administration, Roles & Security
-
Coordinate with IT to provision new user accounts and manage user access.
-
Create, deactivate, and maintain user accounts and role assignments.
-
Assign appropriate roles and permissions, including Technician, Viewer, Planner, Scheduler, Manager, and other approved roles.
-
Administer Single Sign-On (SSO) and coordinate authentication-related issues with IT.
-
Define and maintain security permissions governing who can view, create, edit, approve, or delete information.
-
Conduct periodic user access reviews to ensure appropriate access is maintained.
-
Maintain appropriate segregation of duties and access controls.
Data Management & Governance
-
Maintain the integrity, accuracy, completeness, and consistency of AMS data.
-
Ensure asset information is maintained according to approved data standards, naming conventions, classifications, and governance rules.
-
Identify and resolve duplicate, obsolete, incomplete, or inconsistent asset records.
-
Coordinate data cleansing, migration, and bulk data maintenance activities.
-
Archive records associated with retired, decommissioned, or obsolete assets in accordance with approved retention requirements.
-
Support the ongoing development and enforcement of Utilities AMS data governance standards.
System Integration & Interface Management
-
Coordinate and monitor integrations between the AMS and enterprise systems, including procurement, IT service management, GIS, file servers, and other applicable systems.
-
Monitor data interfaces and identify failed, delayed, or inaccurate data transfers.
-
Troubleshoot data synchronization issues and coordinate resolution with IT, system owners, and vendors.
-
Coordinate API access, API keys, webhooks, and other approved integration mechanisms.
-
Support the development and implementation of new integrations as business requirements evolve.
-
Maintain documentation of system interfaces, dependencies, and integration responsibilities.
System Maintenance, Upgrades & Testing
-
Coordinate system patches, upgrades, releases, enhancements, and maintenance activities.
-
Review release notes and assess the potential impact of system updates on Utilities operations.
-
Develop and execute testing plans for system updates before changes are promoted to production.
-
Coordinate testing with business users, IT, and vendors.
-
Test file server and related security updates in coordination with IT.
-
Validate that system functionality, integrations, workflows, reports, and configurations continue to operate following upgrades.
-
Coordinate implementation of approved changes while minimizing disruption to Utilities operations.
-
Responsible for periodic restore, testing and maintaining the system recovery documentation.
Application Support & Troubleshooting
-
Provide first-tier AMS support to Utilities users.
-
Troubleshoot login, access, workflow, data, reporting, and system configuration issues.
-
Monitor in-flight workflows and identify stalled, failed, or incorrectly routed transactions.
-
Coordinate second- and third-tier support with the AMS vendor and IT.
-
Track incidents through resolution and maintain appropriate support documentation.
-
Identify recurring issues and recommend permanent corrective actions rather than relying solely on workarounds.
Reporting, Analytics & KPI Management
-
Develop and maintain operational, maintenance, system-health, and management reports.
-
Create dashboards and KPI reports to support Utilities leadership and operational decision-making.
-
Monitor system performance, data quality, storage utilization, user activity, and other system health indicators.
-
Provide management with regular reports on system performance, adoption, data quality, and support activities.
-
Support the development and monitoring of AMS performance indicators, such as work order completion, PM compliance, backlog, asset reliability, system adoption, and data quality.
Audit, Compliance & System Controls
-
Monitor system audit logs to identify who created, modified, approved, or deleted asset and maintenance records.
-
Support compliance with Utilities, University, regulatory, security, and records-management requirements.
-
Maintain appropriate system controls and auditability.
-
Support periodic reviews of system access, configuration, data integrity, and security.
-
Ensure changes to system configuration and business rules are appropriately documented and approved.
Vendor & Service Management
-
Act as the primary Utilities AMS administrative contact with the system vendor.
-
Manage and coordinate vendor support requests, escalations, and technical issues.
-
Monitor vendor performance against contractual Service Level Agreements (SLAs).
-
Track outstanding vendor issues, enhancements, defects, and support requests.
-
Support Utilities leadership with vendor licensing, renewal, upgrade, and product strategy decisions.
-
Participate in vendor roadmap discussions and assess new functionality for potential Utilities applications.
Continuous Improvement & Business Requirements
-
Analyze and document new business and system requirements.
-
Work with Utilities stakeholders to identify opportunities to improve processes, workflows, system usability, and data quality.
-
Evaluate proposed system enhancements and determine potential impacts on existing processes and integrations.
-
Develop recommendations for system improvements and present them to appropriate leadership/governance bodies.
-
Support continuous improvement initiatives following AMS implementation.
-
Identify opportunities to automate manual processes and improve operational efficiency.
Leadership & Strategic Support
-
Support Utilities leadership in strategic AMS rollout, implementation, and enhancement decisions.
-
Provide technical and functional advice regarding system capabilities, limitations, risks, and opportunities.
-
Support decisions related to system licensing, upgrades, integrations, and future functionality.
-
Participate in AMS governance forums and provide system administration expertise.
-
Support future deployment waves and organizational changes affecting the AMS.
Communications & Change Support
-
Communicate planned system updates, upgrades, maintenance windows, and outages to affected users.
-
Communicate new functionality, system improvements, and approved process changes.
-
Train and/or onboard new staff on the AMS capabilities.
-
Collaborate with change management and business representatives during major system changes and releases.
-
Maintain appropriate user-facing system documentation and administrative communications.
What you must have:
Education
-
Bachelor's degree in Information Systems, Information Technology, Computer Science, Engineering, or a related field; or an equivalent combination of education, certification, and relevant work experience. ITIL Foundation certification or higher and/or a records management or information governance certification (e.g. Information Governance Professional (IGP)), considered an asset
Technical/Functional
-
Enterprise Asset Management Systems / Computerized Maintenance Management Systems (CMMS) experience
-
Work management and maintenance processes. Preferably knowledge of utilities systems.

Asset hierarchy and asset lifecycle management.

Preventive and predictive maintenance concepts.

System configuration and administration.
