Overview: 
The successful candidate will possess sufficient technical knowledge and operational understanding to act as the primary liaison between contractors, engineering/asset management, project management and operations. The incumbent must be capable of understanding technical work scopes, reviewing contractor deliverables, coordinating maintenance and project activities, identifying issues requiring escalation, and ensuring contractor work is executed in accordance with company standards and operational requirements.

 

What you will be doing:
Contractor Coordination & Administration

  • Coordinate contractor schedules and site access activities.

  • Maintain contractor activity logs and weekly progress reporting.

  • Verify receipt of maintenance records, inspection reports, and supporting documentation.

  • Track contractor findings, deficiencies, and corrective action follow-up.

  • Serve as an administrative liaison between contractors and operational staff.

Invoice & Financial Administration

  • Review contractor invoices for completeness and supporting documentation.

  • Validate work-order references and supporting work records.

  • Track invoice approval status and outstanding requirements.

  • Support cost allocation reviews and reporting.

  • Maintain records supporting invoice approvals and audits.

Work Order & SAP Administration

  • Track open work orders, notifications, and corrective actions.

  • Monitor technical completion requirements and administrative dependencies.

  • Assist operational staff with work-order closeout activities.

  • Generate backlog and aging reports.

  • Support maintenance documentation uploads and records retention.

Documentation & Drawing Control

  • Maintain tracking systems for engineering drawings and project documentation.

  • Coordinate issuance, return, review, and filing of drawing packages.

  • Track record-issue drawings and project turnover documentation.

  • Maintain organized engineering and operational records.

  • Ensure documentation is stored and managed according to established standards

Project Support & Coordination

  • Maintain project tracking logs and status reports.

  • Monitor project documentation and closeout requirements.

  • Coordinate administrative activities between project teams, contractors, and station staff.

  • Track outstanding deliverables and follow-up actions.

  • Support project record management and knowledge retention.

Compliance & Training Support

  • Assist with administrative aspects of NERC compliance programs.

  • Maintain training records and compliance tracking documentation.

  • Support secure laptop, removable media, and access-management activities.

  • Maintain procedural documentation and compliance records.

  • Support audit preparation and documentation retrieval.

Material & Logistics Coordination

  • Coordinate receipt and tracking of materials and equipment deliveries.

  • Maintain records of shipment locations and material ownership.

  • Serve as a point of contact for delivery and logistics inquiries.

  • Coordinate material receipt activities with contractors and project teams.

  • Maintain visibility into project material staging and storage locations.

Reporting & Process Improvement

  • Develop and maintain standardized reports and dashboards.

  • Monitor workload metrics, contractor activity, and administrative performance indicators.

  • Identify opportunities for process improvements and efficiencies.

  • Promote consistent documentation and reporting standards across all supported locations.

 

What you must have:

  • Minimum 7 years of progressively responsible experience in utility, industrial, power generation, transmission, construction, maintenance, project delivery, or asset management environments.

  • Demonstrated experience coordinating and overseeing contractor activities, contract administration, construction activities, maintenance programs, or capital project execution.

  • Experience interpreting engineering drawings, technical specifications, maintenance records, and project documentation.

  • Experience coordinating work between contractors, operations, engineering, maintenance, and project stakeholders.

  • Experience with work management systems, maintenance planning processes, or asset management programs.

  • Experience reviewing contractor invoices, validating completed work, and supporting budget or cost-control processes.

  • Experience supporting project documentation, turnover packages, records management, and regulatory compliance requirements

Technical Knowledge and Skills

  • Working knowledge of utility, industrial, or construction practices, including contractor management, maintenance execution, and project coordination.

  • Ability to understand technical work scopes and evaluate contractor documentation, work progress, schedule impacts, and completion requirements.

  • Demonstrated understanding of engineering drawings, specifications, record drawings, and document control processes.

  • Proficiency with SAP 

  • Proficiency with Microsoft Office applications including Excel, Word, Outlook, Teams, and SharePoint.

  • Experience developing reports, dashboards, performance metrics, and process improvements.

 

Nice to have:

  • Professional Engineer (P.Eng.) designation. 

  • Certified Engineering Technologist (C.E.T.) designation.

  • Experience within the electric utility industry, including generation, transmission, substations, or system operations.

  • Experience supporting NERC compliance programs, regulatory audits, or operational compliance requirements.

  • Experience managing multiple contractors and technical projects across geographically dispersed work locations.

Salary/Rate Range: $54.00 -$66.00 per hour


Term: 12-month contract; most likely to extend
